Purpose
"Search Active eSeries License Users" can be used by eSeries admins to audit active agency user licenses within the eSeries platform.
Functionality and Benefits
This search includes parameters that allow for a more accurate representation of active, billable agency users.
Journal Technologies Employee Filtering: The search excludes users with email addresses ending in @journaltech.com providing that Journal Technologies employees are not counted toward agency user licenses.
API Account Exclusion: The search also excludes "API accounts" that are also not considered agency user licenses.
Business Case
Ideal for administrative reviews, license audits, or reports that need to reflect agency user counts.
How to Configure "Search Active eSeries License Users"
- Navigate to the “Create New Search” screen – Select System Setup -> Screens -> Search Forms.
- Create a new search – Select “Create New Search.”
In the “Create New Search” screen select “User” as the Root Entity. Enter “Search Active eSeries License Users” as the name and “S-ActiveeSeriesLicenseUsers” as the Code. Select “Create.”
- Create Search Criteria Fields
- Add 3 fields simultaneously – In the entity picker, select 3 fields simultaneously by holding down the “Ctrl” button on your keyboard and selecting “Api Account,” “Email,” and “Enabled.” Select “Add Field(s).”

- Modify Search Criteria Fields
- Modify “Email” Field – Select “Email.”
While in the “Edit Email Field” form select "Hidden." The Hidden Condition will then appear.
Select “not contains” and enter “@journaltech.com.” Additionally select “Include Nulls.” In the Default text box enter “@journaltech.com. ” Select “Update & Back.”- Modify “Enabled” field – Select “Enabled.”
While in the “Edit Enabled Field” form select “Yes” in the Default dropdown menu then enter “Yes” below. Select “Update & Back.”
- Modify “Api Account” Field – Select “Api Account.”
While in the “Edit Api Account Field” form select “No” in the Default dropdown menu and then enter “No” below. Select “Update & Back.”
- Modify “Enabled” field – Select “Enabled.”
- Modify “Email” Field – Select “Email.”

- Add 5 fields simultaneously – In the entity picker, select 5 fields simultaneously by holding down the “Ctrl” button on your keyboard and selecting “Account Valid Thru,“ “Email,” “Enabled,” “Real Name,” and “Username.” Select "Result Column" then select “Add Field(s).”
- Add 1 Transient Plain field – In the entity picker, select “Last Login Date.” Select “Result Column“ then select “Add Field(s).”
- Add 5 fields simultaneously – In the entity picker, select 5 fields simultaneously by holding down the “Ctrl” button on your keyboard and selecting “Account Valid Thru,“ “Email,” “Enabled,” “Real Name,” and “Username.” Select "Result Column" then select “Add Field(s).”

- Reorder the Result Column fields – Drag and drop the fields and place them in the order shown below.
- Reorder the Result Column fields – Drag and drop the fields and place them in the order shown below.
- Run "Search Active eSeries License Users" – Select “Run.“
- Export Search – Select "Search" then utilize the buttons at the bottom of the search screen to export the search results in the format you choose.
